Partial payments
Get paid in installments and keep the invoice, the status, and the statement PDF all consistent — automatically.
Record a payment
Open any invoice detail page and use the Payments panel in the sidebar to log a payment.
- Open the invoice from Invoices or Payments.
- Click Record payment in the Payments panel.
- Enter the amount received (or click Pay full balance to prefill).
- Pick a method (Mobile Money / Bank / Cash / Other), add a reference and optional note.
- Save. The status flips automatically.
Automatic status transitions
Each time you add or delete a payment, the invoice status is recomputed:
- Sum of payments = 0 → status stays SENT (or DRAFT / OVERDUE).
- 0 < sum < total → PARTIAL.
- Sum ≥ total → PAID, and paidAt is set to the last payment's date.
Terminal statuses (CANCELLED, REJECTED, EXPIRED, CONVERTED) are never auto-changed by payments.
Statement vs Original PDF
Once at least one payment is recorded, the invoice detail page shows two download buttons:
- Statement PDF — the current view with all payments and the outstanding balance clearly shown.
- Payments received — a table of every payment: date, method, reference, optional note, amount.
- Balance due header — replaces “Amount due” so the client sees exactly what's still owed.
- Original PDF — the invoice exactly as it was first issued, no payments section. Useful for records.
Delete a payment
Click the trash icon on any payment row. Confirmation prompts before removal. Deleting a payment triggers a status recompute — an invoice that was PAID may drop back to PARTIAL or SENT depending on the new sum.
Common questions
What happens if the client overpays?
The invoice is marked PAID and the extra amount stays visible in the payments log. Handle the surplus outside the app (refund, credit, next invoice).
Can I record a payment in a different currency?
Not directly. Payments inherit the invoice's currency. If your client pays in a different currency, convert to the invoice currency before recording.
Can I record payments on a quote?
No. Convert the quote to an invoice first.
